Team Operations: Monthly Practice Review

Prompt: Monthly Practice Review

Description: Comprehensive monthly review of practice performance: searches launched, closed, time-to-fill, win/loss, and pipeline outlook.
Frequency: Monthly (first business day)
Connectors: Clockwork Recruiting

Prompt: (copy/paste the prompt below into your chat in your LLM)

Using Clockwork Recruiting, build my Monthly Practice Review for the month just ended. Fetch projects with ? include=lead,owner,client_company,closing_reason,project_type,placement and display as <Company> \ <Project> throughout. Filter out isInternal = true.

Method note: Placement detection is canonical. A placement is confirmed by project.status == "closed", closingReason.name == "Placement", and a candidacy with status.category == "in-placed" (include=placement returns the placed person). Time-to-fill uses startedAt → closedAt.

Sections:

Searches launched — count, by client (<Company> \ <Project>), by function (projectType.name)

Searches closed — count, time-to-fill, and placed candidate name + company (from include=placement)

Searches lost or paused — projects closed/paused with no placement; reason from notes where captured

Active pipeline — active searches, total candidates (rank >= 100), distribution by status.category

Client concentration — % of activity by top 5 clients

Trend vs prior month — deltas on launches, closes, pipeline depth

Three things to fix next month — your honest read on what the data shows

Output as a markdown report ready to share with my managing partner.

Adapt It Run quarterly or annually with the same structure Add a revenue view (get_project_fee across filled searches) for a billings summary Add average time-in-stage across the funnel to show where deals slow Scope to a single practice area or partner1.
