Client & Candidate Communication: Client Update Email Draft

Prompt: Client Update Email Draft

Description: Generates a polished client-ready status email for a specific search, drawn directly from Clockwork activity.
Frequency: Ad hoc / Weekly per active search
Connectors: Clockwork Recruiting, Gmail / Outlook

Prompt: (copy/paste the prompt below into your LLM)

When I give you a project name or ID, draft a client update email using Clockwork Recruiting data. Fetch the project with ? include=client_company,closing_reason and display as <Company> \ <Project> throughout.

Client visibility filter (confirm once): Before assembling content, confirm: "I'll include only candidates and notes flagged visible to the client (stoplightStatus = green). Keep red and none excluded, or override for this run?" Don't carry an override into later requests without re-confirming.

If isConfidential = true, don't use the client company name in the subject line — use the role title only and confirm recipients before proceeding.

Pull: the project record, all candidacies with include=person,status,assessment_note,overview_note,next_steps_note, and recent candidacy notes (last 14 days) with include=author.

Apply filters: candidacies to stoplightStatus = green only (note how many were excluded); filter notes independently (a green candidacy can still have red notes); filter status.rank < 100.

Then draft an email with:

  • Warm one-line opener referencing the last client touchpoint (look up in Gmail if possible)
  • Progress this period: candidacies updated in the window and candidates removed from consideration (status.category starts with out-). For movement, you can cite concrete stage changes from get_candidacy_status_history on green candidacies.
  • Pipeline snapshot: counts by status.category group, with status.name labels
  • Spotlight: 2–3 candidates the client should know about (highest status.rank among green candidacies), each with a 2- sentence positioning statement from candidacy notes
  • What's next: concrete next steps and any decisions needed from the client

Tone: confident, concise, partner-level. Output as a Gmail draft to the client lead, subject [Client Company] \ [Role] — Search Update [Date].

Adapt It: Generate updates for all active searches at once Shift tone (formal board update vs. quick founder note) Produce a short SMS/Slack version alongside the email Include a finalist comparison table for late-stage searches Pull the actual recipients with get_project_clients and address each contact by name
