Pipeline & Project Health: Weekly Pipeline Health Report

Prompt: Weekly Pipeline Health Report

Description: Roll-up of every active retained search showing pipeline depth, stage distribution, movement, and at-risk searches.
Frequency: Weekly (Monday morning)
Connectors: Clockwork Recruiting

Prompt: (copy/paste the prompt below into your chat in your LLM)

Using Clockwork Recruiting, build a Weekly Pipeline Health Report for all my active retained searches.

Session setup (do once, cache for this session): (0) Load business-rules and domain knowledge if not already done, and resolve my identity via clockwork_get_current_user. Then cache: (a) firm users (Partner/Recruiter/Researcher/Admin only) → userId → name; (b) statuses → statusId → {name, category, rank}; (c) note categories → categoryId → name.

Scope: list_projects(user_id=<me>, status=active, project_type="Retained", include=lead,owner,client_company). Filter out isInternal = true.

For each project, show (display as <Company> \ <Project>): client company, role, project age (weeks since startedAt), total candidacies (excluding rank < 100), count by status.category group (in-outreach, in-contenders, in-offered, in-placed, out-*, research-*), with status.name shown per candidate in the detail view. Also show: candidacies updated this week, the most recent note date across the project, and — using get_candidacy_status_history — any candidates who changed stage this week (concrete from → to moves).

Add a stoplightStatus column: count of green (shareable) / red (hidden) / none (not yet set), so you can see at a glance which slates are ready to share.

If the user asks about candidate color priorities, ask how the firm uses the color slots before filtering or grouping by colorCategory.

Then produce three roll-up sections:

  • Healthy (advancing on schedule)
  • Watch (slow movement or thin pipeline)
  • At Risk (no client-facing activity in 14+ days OR fewer than 3 candidates at in-contenders or higher)

Sort projects by <Company> \ <Project> within each section. Close with a 5-bullet executive summary I can paste into my partner email

Adapt It: Run it for one partner's book or one client Switch the cadence to biweekly or monthly Add average days-in-stage per search (derived from status history) to spot where candidates bottleneck Layer in fee/payment status (get_project_fee, get_project_payments) for a combined pipeline-and-revenue view Output just the At-Risk section as a focused triage list.
